These Terms & Conditions explain the terms that apply when you use our website, contact us through the website, make an enquiry or book coaching services.
Please read them carefully. Separate terms and a coaching agreement may also apply when you become a ProFriends coaching client.
ProFriends Coaching & Mentoring provides coaching and mentoring services to individuals and organisations.
Our services may include personal development coaching, confidence and resilience coaching, career and employability coaching, leadership and workplace coaching, and employer-funded coaching.

You agree not to misuse the website, attempt to interfere with its operation, introduce malicious software or use its content for unlawful purposes.
We may update, change, suspend or remove website content where reasonably necessary.
We take reasonable care to ensure that information published on the ProFriends website is accurate and up to date.
However, website content is provided for general information and should not be treated as individual professional advice.
Information on the website does not replace personalised coaching, medical advice, mental-health treatment, counselling, psychotherapy, legal advice, financial advice or other specialist professional support.
We may update information, services and prices from time to time.
Where there is a difference between general website information and the specific written terms agreed with an individual client or commissioning organisation, the specific written agreement will normally apply to that service, subject to applicable law.
ProFriends provides coaching and mentoring.
Coaching is a collaborative process intended to help clients explore goals, choices, strengths, challenges and possible actions.
ProFriends does not provide counselling, psychotherapy, medical treatment, diagnosis, crisis intervention, legal advice, financial advice or occupational-health assessment unless expressly stated otherwise and appropriately qualified to do so.
Where a client's needs appear to fall outside the scope of coaching, ProFriends may recommend that the client seeks appropriate support from another professional or service.
Coaching outcomes depend on many factors, including the client's circumstances, choices, participation and actions.
We therefore cannot guarantee particular outcomes from coaching, including employment, promotion, increased income, business success, improved relationships, health outcomes or any other particular result.
Nothing in these Terms excludes ProFriends' responsibility to provide services with the level of care and skill required by applicable law.
Where offered, an initial discovery call provides an opportunity to discuss what you are looking for, ask questions about ProFriends and consider whether coaching may be appropriate for you.
A discovery call does not oblige you to purchase coaching.
ProFriends also reserves the right to decide that the service requested is outside our scope or that another service may be more appropriate.
A coaching enquiry or booking request submitted through the website does not necessarily create a coaching contract.
Before paid coaching begins, relevant details such as the service, price, session arrangements and applicable terms will be confirmed.
Clients may also be asked to read and agree to an appropriate ProFriends Client Intake Pack and Coaching Agreement.
Different arrangements apply depending on whether the service is:
Current standard prices may be displayed on our website.
Where a bespoke service, package, workshop or employer-funded arrangement is requested, a separate price or quotation may be provided.
The price applicable to your coaching will be confirmed before the service begins.
Payment arrangements will be explained before you commit to the service.
Where an employer or organisation commissions coaching, payment terms may be agreed separately with that organisation.
Our standard appointment policy requires at least 24 hours' notice if you need to cancel or rearrange a coaching session.
Where at least 24 hours' notice is provided, a prepaid session can normally be rearranged or refunded in accordance with your coaching agreement.
Where less than 24 hours' notice is provided, or where a client does not attend an agreed appointment, the full session fee may be charged or the session may be treated as used.
We recognise that genuine emergencies and exceptional circumstances can happen and these may be considered at ProFriends' discretion.
If ProFriends needs to cancel a paid appointment, we will offer to rearrange the appointment or refund/credit the relevant session fee.
If you are a consumer and enter into a coaching contract online, by telephone or in another situation where statutory cancellation rights apply, you will normally have 14 days from the date the service contract is entered into to change your mind and cancel.
You do not need to give a reason.
Information about exercising this right and a model cancellation notice may be provided in your Client Intake Pack or Coaching Agreement.
You may choose to ask ProFriends to begin providing coaching before the 14-day cancellation period has ended.
Where required, we will ask you to expressly request that the service begins during the cancellation period.
If you then cancel after coaching has begun, you may be required to pay a proportionate amount for services already supplied, in accordance with applicable consumer law.
If the service has been fully performed during the cancellation period following the necessary request and acknowledgement, your statutory right to cancel may end once the service has been completed.
Nothing in these Terms affects your statutory consumer rights.
Confidentiality is an important part of the ProFriends coaching relationship.
Detailed confidentiality arrangements are explained in the relevant Client Intake Pack and Coaching Agreement.
Information shared during coaching will normally remain confidential.
There are limited circumstances in which confidentiality may need to be restricted, including where:
Where information needs to be shared, we will aim to share only information that is relevant and proportionate.
Where an employer, GP practice or another organisation funds coaching for an employee:
The employee receiving coaching is the coaching client.
The fact that an organisation pays for coaching does not automatically give that organisation access to confidential coaching conversations, intake information or coaching notes.
Before coaching begins, ProFriends will clarify what limited information may be shared with the commissioning organisation.
This may include agreed administrative or attendance information and a high-level outcome report.
Detailed personal disclosures will not routinely be reported to the employer.
ProFriends may provide appropriate coaching services to young people aged 16–17 where suitable consent, safeguarding and service arrangements are in place.
Additional terms and safeguarding arrangements apply.
A parent or guardian may be involved in consent, payment and practical arrangements, but this does not automatically give them access to everything discussed during coaching.
The young person's welfare and safeguarding responsibilities will remain central to decisions about confidentiality and information sharing.
ProFriends reserves the right to decline or discontinue coaching where the service is not appropriate for the young person's needs.
ProFriends takes safeguarding responsibilities seriously.
Coaching is not an emergency or crisis service.
If you or somebody else is in immediate danger or requires urgent medical assistance, please contact the appropriate emergency service.
Where a safeguarding or serious safety concern arises during coaching, ProFriends will respond in accordance with its safeguarding and professional procedures.
Online coaching may be delivered using Google Meet or another agreed platform.
Clients are encouraged to attend online sessions from a private and suitable environment where possible.
Although reasonable precautions are taken, no internet, email or video-conferencing service can be guaranteed to be completely secure or uninterrupted.
If technical difficulties significantly affect a session, Helena and the client will agree an appropriate way to continue or rearrange it.
Where face-to-face coaching is agreed, sessions will take place at an appropriate agreed location.
ProFriends reserves the right to change a proposed location, move a session online or decline a face-to-face arrangement where there are reasonable concerns about safety, privacy, suitability or professional boundaries.
Your personal information will be handled in accordance with the ProFriends Privacy Policy.
Our Privacy Policy explains what information we collect, why we use it, how long we may retain it, who it may be shared with and your data-protection rights.
Where our website uses cookies or similar technologies, further information is available in our Cookies Policy.
If you contact ProFriends through our website, by email, telephone or another communication method, we will use the information you provide to respond to and manage your enquiry.
Submitting an enquiry does not oblige you to purchase coaching.
Further information about how we handle enquiry information can be found in our Privacy Policy.
Unless otherwise stated, the content of the ProFriends website, including original written material, coaching resources, worksheets, fact sheets, graphics and branding, belongs to ProFriends Coaching & Mentoring or is used with appropriate permission.
Website and coaching materials are provided for your personal use unless another use has been agreed in writing.
You must not reproduce, sell, distribute, publish or commercially exploit ProFriends materials without prior written permission, except where permitted by law.
You may download or print resources specifically made available for personal client use.
Our website may contain links to websites or services operated by other organisations.
These links may be provided for information or convenience.
ProFriends does not control third-party websites and is not responsible for their content, availability, security or privacy practices.
You should review the terms and privacy information of third-party websites you choose to visit.
Testimonials published on our website reflect the experience and views of individual clients who have given appropriate permission for their feedback to be used.
Individual experiences vary and testimonials should not be interpreted as a guarantee that another client will achieve the same result.
If you are unhappy with a ProFriends service, we encourage you to raise the issue with Helena so that we have an opportunity to understand and address your concern.

We aim to acknowledge written complaints promptly and normally provide a substantive response within 14 calendar days. If additional time is reasonably required, we will explain this.
Nothing in this complaints procedure affects any statutory rights you may have.
Data-protection complaints are dealt with in accordance with our Privacy Policy.
Nothing in these Terms excludes or limits liability where it would be unlawful to do so.
This includes liability that cannot legally be excluded or restricted and your statutory rights as a consumer.
ProFriends is not responsible for losses caused solely by decisions or actions a client independently chooses to take where ProFriends has provided the service with the reasonable care and skill required by law.
We are not responsible for circumstances genuinely outside our reasonable control, although we will take reasonable steps to minimise disruption to booked services.
We may update these Terms & Conditions when our services, business practices or legal requirements change.
The latest version will be published on our website.
Changes will not retrospectively remove rights that have already arisen under an existing coaching agreement.
These Terms are governed by the laws of England and Wales.
If you are a consumer, you retain any rights you have under applicable consumer law concerning where legal proceedings may be brought.
